You do not need to be technical. You do not need a big budget. You just need 60 minutes and a willingness to try.
This guide will walk you through setting up your first AI automation — one that will save you hours every week and cost you nothing.
What We Are Building
A system that automatically responds to new contact form submissions with a personalized email, adds the lead to a spreadsheet, and sends you a mobile notification — all in 2 seconds, 24/7.
What You Will Need (all free)
- A Zapier account (free tier works)
- A Gmail account
- A Google Sheets spreadsheet
- A website with a contact form
Step-by-Step Setup
Step 1: Create Your Zapier Account (5 minutes)
Go to zapier.com and sign up for a free account. No credit card required.
Step 2: Connect Your Trigger (10 minutes)
Click “Create Zap” and search for your form tool (WPForms, Contact Form 7, Typeform, etc). Connect it to Zapier following the prompts.
Step 3: Add to Google Sheets (10 minutes)
Add an action: “Google Sheets – Create Spreadsheet Row.” Connect your Google account and select your spreadsheet. Map the form fields to columns.
Step 4: Send the Auto-Reply Email (15 minutes)
Add another action: “Gmail – Send Email.” Write a template like:
“Hi [First Name], Thank you for reaching out to [Your Business]! I received your message and will personally respond within 24 hours. In the meantime, here are some helpful resources… [Your Signature]”
Step 5: Get a Mobile Notification (10 minutes)
Add a final action: “Zapier Manager – Send Push Notification.” Download the Zapier app on your phone. Now you will get instant alerts for every new lead.
Step 6: Test and Go Live (10 minutes)
Submit a test form on your website. Check that the spreadsheet updates, the email sends, and your phone buzzes. Turn on the Zap!
What You Just Accomplished
- Leads get instant responses (even at 3 AM)
